Cognisen primarily provides technology to government agencies and other authorized organizations.
Depending on the interaction, Cognisen may process personal information:

On behalf of a customer, such as when an agency uses the Cognisen platform to process information within its authorized environment.
When Cognisen processes information on behalf of a customer, the customer generally determines the purposes for which that information is processed.
Individuals seeking access to or correction of information maintained by an agency should generally contact that agency directly.

Depending on how you interact with Cognisen, we may collect the following information.

The types of Customer Data processed vary by customer and are governed by the applicable customer agreement, customer instructions, and applicable law.

Certain Cognisen Services use artificial intelligence, machine learning, large language models, retrieval technologies, or related systems.
Customer Data may be processed using these technologies only as necessary to provide authorized functionality and in accordance with applicable customer agreements, security requirements, customer instructions, and system configurations.
Cognisen does not use Customer Data to train generalized AI models for unrelated customers unless expressly authorized in writing by the applicable customer.
AI-assisted outputs are designed to support authorized professionals and remain subject to human review and approval.
5. Criminal Justice Information and Security
Certain customers may use Cognisen to process Criminal Justice Information or other sensitive information.
Where Cognisen is contracted and configured to process CJI, Cognisen maintains safeguards designed to support applicable CJIS Security Policy requirements.
Cognisen uses technical and organizational safeguards designed to protect information, including encryption of data in transit and at rest and access controls intended to restrict information to authorized users and personnel.
Customers remain responsible for determining which information may lawfully be submitted to the Services and how their authorized users access and use that information.
6. How We Disclose Information
Cognisen does not sell Customer Data or CJI.
We may disclose information in the following circumstances:
Service Providers
We may use authorized service providers that support infrastructure, hosting, security, analytics, communications, technical operations, and other business functions.
Where appropriate, such providers are subject to contractual confidentiality, security, and data-processing requirements.
At a Customer's Direction
Where Cognisen processes Customer Data on behalf of a customer, information may be made available or disclosed according to that customer's instructions and applicable agreement.
Legal Requirements
We may disclose information when reasonably necessary to:
Comply with applicable law;
Respond to lawful subpoenas, warrants, court orders, or government requests;
Support required audits or compliance obligations;
Protect Cognisen, our customers, users, or others;
Investigate fraud or security incidents; or

Depending on the Services and applicable customer requirements, safeguards may include:
Encryption;
Authentication and access controls;
Logging and monitoring;
Vulnerability management;
Security assessments;
Incident-response procedures; and
Administrative and personnel controls.
No method of electronic storage or transmission can be guaranteed to be completely secure.
8. Data Retention
We retain information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including providing the Services, maintaining security and audit records, satisfying contractual obligations, resolving disputes, and complying with legal requirements.
Customer Data retention, return, export, and deletion may also be governed by applicable customer agreements, agency instructions, litigation holds, public-records requirements, records-retention requirements, or other applicable laws.

Depending on where you live and applicable law, you may have rights concerning personal information, including rights to:
